What an outsourced NEMT dispatch team actually does
A day-in-the-life look at how a remote dispatch and call handling team supports a non-emergency medical transportation company.
By the LYT Network team
Most NEMT companies start the same way: an owner who drives, dispatches, answers the phone and does the billing at night. It works for a few vehicles. Then the fleet grows, broker volume increases and the phone never stops. That is usually the moment operators start asking what an outsourced dispatch team would actually do.
The day before: building the schedule
Good days are built the day before. A dispatch team imports or accepts tomorrow's trips from broker portals and facilities, checks each one for missing information, and builds the schedule by matching trips to drivers based on vehicle type, level of service, location and shift times.
Standing orders, such as dialysis three times a week, are checked for changes. Conflicts are resolved early instead of at 6 a.m. when the first driver is already on the road.
During the day: live dispatch
Once trips start, the dispatcher's job is to keep the plan working as reality changes. Patients are not ready, appointments run long, drivers hit traffic and will-call returns arrive without warning. The dispatcher monitors every active trip, reassigns work when needed and keeps drivers informed.
The phone: every call answered
Calls come from patients asking where their driver is, clinics confirming returns, drivers reporting problems and brokers checking statuses. A trained call handling team answers in your company's name, resolves routine questions immediately and escalates anything that needs the owner's decision.
Keeping brokers happy
Brokers score providers on timeliness, accuracy and complaints. Outsourced teams update trip statuses promptly, keep documentation complete and flag risks before they damage your score. That protects the volume of trips you receive.
What stays with you
You still own the vehicles, the drivers, the software and the broker relationships. The outsourced team works inside your systems, follows your rules and reports to you. The difference is that you are no longer the bottleneck.
Is it right for your company?
If you are turning down trips, missing calls or spending evenings on admin instead of growth, an outsourced back office is worth exploring. Start with dispatch and call handling, measure the difference, then decide what else to hand over.
